Job Description

To provide full administrative and secretarial support to the Managing Director to ensure the smooth management of her day to day affairs, including office work. To handle sensitive and complex issues in a professional and objective manner.

Main responsibilities

-        Manage travel arrangements (including visas/accommodation).

-        Process MD's correspondence, ensuring that incoming correspondence is dealt with by MD or on behalf of MD, or other staff as appropriate.

-        Maintain MD's office systems, including data management and filing – electronic and paper.

-        Maintain records of MD's contacts.

-        Conduct screen calls, inquiries and requests, and deal with them as appropriate.

-        Assist MD in researching and following up with actions on matters which fall within MD's responsibility – chasing responses, triggering follow-up action.

-        Produce and circulate documents, briefing papers, reports and presentations for MD.

-        Coordinate between MD and other employees as necessary.

-        Organize meetings and ensure that MD is well prepared for those meetings, preparing agendas, pre-meeting briefings and meeting papers.

-        Remind daily schedule and help with daily time management.

-        General administration and management of confidential and sensitive information.

-        Supervise all incoming/outgoing mail.

-        May need to travel when necessary.

-        Run errands as requested.

-        Any other duties as may reasonably be required by MD.
